Who we are

This notice explains how Martins of Hawkhurst Ltd, trading as Martins, collects and uses information about you. We are responsible for (the "controller" of) the information we hold about you.

Martins of Hawkhurst Ltd is registered in England and Wales, company number 09447290. Our registered office and showroom are at 23 Cranbrook Road, Hawkhurst, Kent TN18 4AZ.

If you have a question about this notice or your information, email mail@martinsofhawkhurst.co.uk, call 01580 753470 or write to us at the address above.

The information we collect

When you contact us, ask us to call you back or book an appointment, we collect your name, the contact details you give us (such as your email address and phone number), your postcode or address where we need it, and what you've asked about.

If you save ideas on our website and send them with a booking, we receive the kitchens you chose.

If you go ahead with a kitchen, appliances or a repair, we also keep what we need to do the work: your installation or delivery address, your design, quotation and order, details of the appliances we supply or repair, notes about access to your home, and records of your payments.

If you accept analytics or advertising cookies, we also record how you found our website (for example a search engine, a link or one of our adverts) and the page you arrived on, and receive it with any enquiry or booking you send.

When you visit our website, our server keeps a technical record of each visit for a limited time (such as your internet address and the page you asked for), to keep the website secure and working.

We also count visits to each page, how visitors found our website (for example a search engine, an advert or another website) and whether they use a phone, tablet or computer. This count uses no cookies and doesn't keep your internet address or anything else that identifies you.

Unless you switch it off on our cookie page, your browser tab also keeps a random reference for your visit in its own temporary storage, which is deleted when you close the tab. It lets us see how long visits last, which pages they include, and whether a visit led to an enquiry, booking or phone call, together with how that visit found us. It doesn't identify you, and we don't keep your internet address with it.

If an internet address tries to break into our website, or asks for far more pages than a person could, it is blocked from the website for a while. We keep a partly hidden copy of that address for up to 30 days.

If one of our forms is stopped because it looks like spam, we keep what was typed into it (the name, contact details and the start of the message) for 30 days, so we can still get in touch if it was stopped by mistake.

How we use it, and our legal reasons

To reply to you and arrange appointments: this is needed to do what you've asked before you decide whether to order, and is in our legitimate interest in answering enquiries.

To design, supply and install your kitchen and appliances, and to repair appliances: this is needed to carry out our contract with you.

To keep accounts and records and meet our other legal duties: this is required by law.

To keep our website and systems secure, stop misuse of our forms and improve our service: this is in our legitimate interests, which we balance against your rights.

To understand how our website is used and which ways of finding us lead to enquiries (our visit statistics): this is in our legitimate interests, and you can switch the visit reference off on our cookie page.

To send you news and offers: only with your consent (see Marketing).

To measure how our website and adverts are used, and how people find us: only with your consent (your cookie choice), which you can change at any time.

Marketing

We only send news and offers in the ways you choose on our forms, such as email, text message, phone or post. Every choice starts unticked. You can change your mind at any time, using the unsubscribe link in any email or by contacting us, and it won't affect anything we're already doing for you.

Who we share it with

We never sell your information. We only share it where we need to:

• with the companies that run our website, customer records and email for us, under contracts that require them to keep it safe and only use it as we instruct;

• with Google, for website statistics and advert measurement, only if you accept those cookies;

• with the people who help us deliver your project, such as our fitters and other trades, and the makers and suppliers of your kitchen and appliances (for example to order products, arrange delivery or register a guarantee);

• with Miele or another manufacturer when we repair an appliance under its guarantee;

• with our professional advisers, insurers and bank, and with HMRC, the police or other authorities where the law requires it.

Information sent outside the UK

Some of the companies that provide services to us may store or handle information outside the UK. Where they do, we make sure it is protected to UK standards, for example by using the UK's approved contract terms, or by only sending it to countries the UK recognises as protecting it properly.

How long we keep it

If your enquiry doesn't go ahead, we delete your details two years after we were last in touch. If you become a customer, we keep your records for six years after your project or repair is finished, as we need them for tax and legal reasons, and longer only if a guarantee claim needs them. If you've agreed to marketing, we keep your choices until you change them.

Our visit statistics keep each visit's record (with its random reference, never your name or address) for 13 months, and the counts for 25 months, so we can compare one year with the next. Forms stopped as spam are deleted after 30 days.

Your rights

You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it, limit how we use it, or send it to you or another organisation in a portable form. You can object to us using it for our legitimate interests, and you can withdraw consent to marketing at any time.

To ask, email mail@martinsofhawkhurst.co.uk or write to us. We'll reply within one month, and there's normally no charge.

Cookies

Our website always uses one essential security cookie on its forms. Analytics and advertising cookies, and the note of how you found us, are only used if you accept them, and you can change your choice at any time with "Cookie settings" at the bottom of every page. Our cookie page explains each one.

Keeping your information safe

Our website uses secure connections throughout, only the people who need it can see your information, and our systems are protected with strong passwords and two-step sign-in.

Complaints

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
